Job Summary
We are seeking a professionally and highly-motivated Sales Office Manager for our busy sales office in Rufforth York YO23 3QA.
The Sales Office Manager is responsible for overseeing the day-to-day operations of a busy coach company sales office. The role involves supervising a small team of sales and administrative staff, ensuring customer enquiries and bookings are handled efficiently, and for maintaining high standards of customer service. The Sales Office Manager acts as a key point of contact for customers, visitors and contractors while supporting the wider business through effective office management and team leadership. In addition the Sales Office Manager would be required to work occasional Saturdays or Sundays (approximately 6 days per year) at intervals throughout the year to assist with delivery of special events days.
Key Responsibilities
Team Leadership and Office Management
- Supervise and support a small team of experienced sales and administrative staff.
- Delegate tasks and manage workloads to ensure the smooth day-to-day running of a busy office environment.
- Provide training and ongoing support to team members.
- Oversee staff rota management and holiday entitlement.
- Attend internal meetings and contribute to operational planning.
Customer Enquiries and Sales Support
- Manage a high volume of telephone and email enquiries from customers.
- Provide quotations and process bookings for coach hire and related services.
- Respond to parental enquiries regarding bus passes, home-to-school transport and related matters.
- Handle enquiries relating to lost property.
Customer Service and Administration
- Ensure a high standard of customer service is maintained at all times.
- Manage and respond to customer complaints in a professional and timely manner.
- Support general office administration including filing, documentation and record keeping.
- Process payments and maintain accurate transaction records.
Reception and Front of House
- Act as the first point of contact for the organisation.
- Welcome visitors, clients and contractors to the premises.
- Ensure safeguarding procedures and site policies are followed appropriately.
- Maintain a professional and organised reception environment.
Skills and Experience
- Previous experience in an office management or supervisory role.
- Strong customer service and communication skills.
- Ability to manage multiple tasks in a fast-paced office environment.
- Experience handling customer enquiries via telephone and email.
- Good organisational and administrative skills.
- Confident using office systems and booking software.
